Branded Merchandise Budget Calculator
Most branded programs are budgeted at product cost alone, then get squeezed by decoration, setup, packaging and freight. This planner works the other way: start from the total you have, reserve contingency, then see what is genuinely available per recipient and how that typically splits.
Planning estimate only — final pricing and timing depend on product, decoration, quantity, shipping and availability.

Planning assumptions used
- —Contingency is removed from the total before anything else is allocated.
- —Allocation ranges are planning norms by program type, not quotes.
- —Each additional ship-to location shifts a small share toward shipping.
- —Freight is treated as part of the program budget, not an extra.
We will pick up exactly where you left off — nothing to re-enter.
What this planner answers
How much remains per recipient after contingency, and how should product, decoration, packaging and shipping share the budget?
Who it is for
HR, staff-experience and marketing teams planning employee appreciation, recognition or corporate gifting.
Three practical assumptions
- Contingency is removed from the total before anything else is allocated.
- Allocation ranges are planning norms by program type, not quotes.
- Each additional ship-to location shifts a small share toward shipping.
Example—not a quote
With a $5,000 recognition budget for 100 people at one location and 10% contingency, $500 is reserved. That leaves $4,500, or $45 per person, across the program cost lines—not a product-only price.
Common questions
- Does this give me real product pricing?
- No. It allocates the budget you enter across the cost lines a program usually carries. Actual pricing depends on product, decoration method, quantity and freight.
- Why reserve a contingency?
- Art revisions, size changes, address corrections and re-ships are normal. Programs that reserve a small buffer avoid raiding the product budget when something moves.
- What if I do not know my recipient count yet?
- Enter your best estimate. The per-recipient target is the number that drives product selection, so it is worth revisiting as the count firms up.
